Maintenance Force UK Limited is a leading property maintenance company operating throughout South Wales and the West.

With the business's continual expansion, and in increase in demand for their wide-ranging maintenance services, MJ Software Solutions were approached to design a specialist job-tracking software package to aid the efficient running of day-to-day operations.

The client's requirements:

• A multi-user database accessible by their large workforce simultaneously.
• Data capture capabilities allowing for the efficient recording of job, property, client and staff member details.
• A user-friendly system of scheduling jobs, with advanced search facilities and an alert function to inform staff members of any pending jobs in the vicinity of their present location.
• An automatic, colour-coded job-status management system – an efficient way of monitoring those jobs approaching their specified deadline (coloured orange), and those already overdue (coloured red).
• The ability to keep clients regularly informed of their job's progress via status reports and exportable spreadsheets containing various details of the individual project.
• Automatic generation of the job-sheets required by engineers when attending specific assignments.
• A re-scheduling facility for regular, repeat maintenance jobs.
  

Our approach and results delivered:

This extensive job-tracking software package was developed by MJ Software Solutions according to the client's exact requirements, as specified above, with a PC-based database solution linking to a mysql database server.

Maintenance Force were able to fully incorporate the system into their working practices with ease, and since going live have approached us with a number of extra features required to enhance the system further.
With our commitment to supporting all clients in the ongoing development of their bespoke software, these requests were received gladly, and have now been fully implemented into the original package.

The additional features include:

• The ability to sub-contract jobs within the software and automatically email the selected contractor with the information required to perform each specific assignment.
• A feature enabling the efficient scanning of signed job-sheets. Once scanned, the electronic copy can be instantly linked to the individual client simply by "dragging and dropping" the PDF file onto the relevant job-card stored within the software package.
• An emergency SMS messaging service to relay details of urgent jobs to engineers.
